Collection and Use of Personal Information
Flash Appointments respects every individual's right to privacy.
We collect information from you solely as needed to operate our online appointment scheduling business.
For our customers and their staff, we use your information to contact you in the following circumstances:
- communicate your appointment status according to account settings you control,
- communicate regarding the status of your account,
- email to you invoices, and other billing related information as needed including: late payment notice, estimates , etc.
- notify you of changes in service or pricing,
- address technical support or other issues requested by you,
- and occassionally to solicit feedback regarding your satisfaction with our service.
For clients of our customers, we use your information to contact you in the following circumstances:
- communicate regarding client appointment status according to account settings. These communications may include, confirmations, reschedule notifications, cancelations, reminders, follow-up and no-show notifications.
- address technical support or other issues requested by you, the client.
We do not communicate to non-customers unless solicted by them. In general, we do not share any information entered into the system by customers, staff, clients, or other users to whom you have granted access to your account in the normal course of business.
The only time information may be shared with third parties is as needed to collect payment, as required by law or regulation, where our records indicate that fraudulent or harmful activity has occurred, or where our Terms and Conditions Agreement have been violated.
We do partner with third parties for the sales and support desk. We also partner with PCI accredited partners for billing and payments. Users should be aware that they are entering information into partner systems when opening a support or sales ticket, and when paying invoices online.
Security
We take precautions to protect your information. When you submit any information via the website, your information is protected both online and offline.
Information gathered on our website is encrypted and securely transmitted to and from our system. You can verify this by looking for a lock icon in the address bar and looking for "https" at the beginning of the address of the Web page.
Data is stored in a secure environment. Only those who require the information or access to it in order to perform their work duties are allowed access. We do not download your data to external files or devices, unless requested to do so by the account owner or administrator for technical support purposes.
We do not fulfill technical support requests without first ensuring the requestor has the proper authority to make the request.
Billing
Invoicing and payment are managed online. We will email you an invoice and/or advise each month once your credit card has been charged. We do not snail mail our invoices.
We understand many larger organizations have fixed budgeting and accounts payable practices. We value your business and will attempt to work with you when possible to accommodate the needs of your organization.
